Distance Education Specialist

The Distance Education Specialist position is responsible for working in collaboration with the Vice President for Academic Affairs, Instructional Technology Specialist, and the Dean-Learning Resources in the development, implementation and maintenance of the college’s distance learning and online learning programs; Maintaining the College’s Learning Management System (LMS) for distance education; Assisting in the training of users and troubleshooting problems with the LMS; Assisting in the implementation of special projects pertaining to the College’s accreditation process. Position reports to the Chief Information Officer.
DUTIES AND RESPONSIBILITIES
- Manage course requests for the online delivery system including creating course shells for instructors, creating user IDs for new users, creating user IDs for continuing education students and managing student user access to the online delivery system.
- Research system known issues, manage technical support tickets submitted, participate in Blackboard cohorts for new features, participate in/attend any technical training as appropriate.
- Manage software updates such as monthly upgrades, building blocks, and vendor integrations.
- Compile semester enrollments for courses and students and maintain archives of online courses.
- Design and conduct professional development/training opportunities for both the distance learning and online learning programs to end users.
- Provide support in the administration of the online learning management system.
- Assist in the observation of distance learning instruction.
- Assist in coordination of distance learning classroom/lab equipment installation/training.
- Provide video/virtual conferencing resources to instructors and staff.
- Assist in the development and maintenance of distance learning training materials.
- Assist with technical support for the distance learning and administrative system (i.e. AVISO) end users (i.e. instructors and students, etc.).
- Assist in providing instructional support for teachers in effective use of distance learning labs.
- Remain current with online learning pedagogy, web conferencing applications and associated hardware.
- Create and maintain operational documentation.
- Attend meetings and participate on committees as necessary.
- Maintain a high standard of professionalism in representing the College including confidentiality in all aspects of the position’s responsibilities and adherence to policies, procedures, and other established guidelines as appropriate. MINIMUM EDUCATION QUALIFICATIONS
- Associate degree in business, computer technology, office administration, or related field required.
- Strong Microsoft Suite (Word, Excel, PowerPoint, Access) and data entry skills required.
MINIMUM EXPERIENCE QUALIFICATIONS
- Leadership qualities and personal characteristics necessary for working effectively with all categories of college employees and constituents.
- Exemplary oral and written communication skills; strong organizational skills; proficient in the use of distance learning lab and mobile videoconferencing equipment; knowledge of current research and trends in technology education with an emphasis in video conferencing and online education
- Experience with learning management systems such as Blackboard, Moodle, Web CT, and Sakai required.
PHYSICAL REQUIREMENTS
- Generally works in a traditional climate controlled office environment and requires the ability to sit for extended periods.
- Some walking, standing, and bending required, with the ability to lift and maneuver items weighing up to 25 pounds.
- Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
- In addition to regular office hours, position sometimes requires overtime and/or evening hours.
Secretary- Career and Technical Education
SUMMARY

Perform a variety of administrative support services for the Career and Technical Education (CTE) Division. Assist with registration and student advisement; provide information about divisional programs; serve as a contact person in the divisional office; assist students, faculty members, and visitors.
DUTIES AND RESPONSIBILITIES
- Serve as a contact person for students and visitors; answer telephone and relay messages; provide information to students, faculty members, and visitors to the office while maintaining a high level of customer service.
- Provide program information through personal contact, telephone, e-mail or mail; revise information and handouts periodically to reflect changes in curriculums (including website).
- Assist with registration by entering student schedules, processing drops/adds and withdrawal/audit information.
- Type and compose correspondence, memorandums, minutes, handouts, flyers, reports, merged mailings, and forms.
- Maintain divisional files and records.
- Collect, submit, and track travel, leave, and reimbursement requests for the division.
- Assist with divisional schedules, arranging room schedules and equipment requests.
- Distribute, collect, and report academic data and administrative reports in accordance with current policies and procedures, including rosters, evaluations, schedule cards, 10% reports, etc.
- Assist with keeping curriculum changes and catalog changes up-to-date.
- Help coordinate transcript evaluations, certificate approval and distribution processes, and division graduation processes according to policy
- Collect and enter information into the NC Works database for curriculum programs.
- Perform other related tasks incidental to the work described herein, including those required to maintain grant compliance, including Perkins, and divisional compliance with external agencies.
- Maintain a high standard of professional and ethical practice in representing the College. Maintain confidentiality of sensitive and/or confidential information. Demonstrate a thorough knowledge of the field or discipline with continued adherence to professional accountability. MINIMUM EDUCATION QUALIFICATIONS
- High school diploma or GED/HSE plus two years’ clerical experience OR associate degree in office administration, office systems technology, secretarial science, or related field from a nationally accredited institution required.
- Associate degree from a nationally accredited institution preferred.
- Career Readiness Certificate (CRC) preferred.
MINIMUM EXPERIENCE QUALIFICATIONS
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.) required.
- Working knowledge of operating standard office equipment and related tools and technology required.

Administrative Assistant-Technology Services
SUMMARY

Provide diverse administrative support to the Chief Information Officer (CIO) and the Technology Services Department, which encompasses performing multiple duties, tasks, and responsibilities and technical support to faculty, staff, students, and the organization with a focus on customer service. Will report to and assist the CTSO and the department by performing ad hoc project work and drafting procedures and other documentation.
DUTIES AND RESPONSIBILITIES
- Perform a variety of administrative duties including creating departmental correspondence, and related documents; performing grammar and content reviews (e.g., proof-reading and editing documents); manage various electronic and hardcopy calendars and schedules. Respond to telephone, email, and in-person inquiries with a strong customer service focus; regularly handle sensitive and confidential information with judgment and tact; serve as a resource for policies, procedures and guides. Act as a point-of-contact and regularly communicate and interact with internal and external customers, clients, vendors, and various organizations or entities. Position requires the ability to anticipate and address needs on a regular basis.
- Support the CIO and Technology Services staff through a variety of tasks related to the organization by answering questions and responding to requests; receive and direct visitors, staff, students, and faculty.
- Operate and upkeep a variety of office equipment, including computers, copiers, two-way radios, etc.
- Order and maintain inventory of office supplies; maintain equipment inventory.
- Prepare, edit, and modify all departmental documents and correspondence; assist in the preparation of regularly scheduled reports, purchase orders and bills; open, sort and distribute incoming correspondence.
- Schedule/coordinate meetings, appointments, travel requests/reimbursements, work orders; create and reconcile expense reports and perform research as needed.
- Participate in professional development activities to enhance job knowledge and stay up-to-date on changing trends and technology associated with assigned area of responsibility.
- Maintain vendor contacts and coordinate joint activities with outside agencies.
- Organize office and assist team members in ways that optimize daily procedures.
- Attend meetings and serve on College committees as requested.
- Provide assistance in the completion of projects and goals of Technology Services ensuring tasks/projects are completed accurately and delivered with high quality and in a timely manner; prepare special reports that may include research, analysis, compiling, and summarizing of data.

- Must be a fast, independent learner and able to work without supervision when merited.
- Ability to work efficiently on simultaneous projects and manage time within a fast-paced environment required.
- Must be a team player and work well with others, be detail oriented, a self-starter, and able to take good notes and present them in a report.
- Must work with the CTSO to prepare department assessment documents and budgets.
- Willingness to learn multiple roles and be flexible with work assignment on a daily basis.

- Ability to translate complex technical issues into simple terms; when providing telephone support, must be able to understand end users' descriptions of their computer problems in order to correctly troubleshoot them.
